Terms and Conditions | All Occasion Rentals Policies

Thank you for choosing All Occasion Rentals. By placing an order, making payment, signing an agreement, approving by email/text, or accepting delivery/pickup of rental items, Customer agrees to the following Terms & Conditions.

Reservations & Deposits

  • A 50% non-refundable deposit is required to reserve rental inventory, labor, and event date.
  • Orders are not confirmed until deposit payment is received.
  • High-demand dates are reserved on a first-paid basis.

Final Payments

  • Remaining balances are due prior to delivery, setup, or will-call pickup unless otherwise approved in writing.
  • Failure to pay the remaining balance may result in cancellation of the order without refund of deposit.

Order Changes & Reductions

  • Changes requested close to the event may not be possible.
  • No reductions, item removals, or quantity decreases within seven (7) days of delivery or pickup.
  • Late additions may be subject to availability, rush scheduling, delivery, and labor fees.

Cancellation Policy

  • All deposits are non-refundable.

If an order is canceled:

  • 16 or more days prior to delivery/will call: 50% refund of amounts paid beyond deposit may apply.
  • 8 to 15 days prior: 40% refund of amounts paid beyond deposit may apply.
  • 1 to 7 days prior: No refund.
  • Same-day cancellation, refusal at delivery, or inaccessible site: Full charges may apply.

Weather Policy

  • Outdoor events involve weather risk.
  • No refunds are issued for weather-related concerns once rental equipment has been accepted or setup has begun.

All Occasion Rentals reserves the right to delay, modify, reschedule, or cancel delivery/setup when severe or unsafe weather conditions exist, including but not limited to:

  • high winds
  • lightning
  • flooding
  • excessive rain
  • dangerous ground conditions

Safety decisions are at company discretion.

Delivery Policy

Standard delivery includes placement at the closest safe and accessible ground-level location reasonably available to our crew.

Additional charges may apply for:

  • stairs
  • elevators
  • long carry distances
  • narrow access paths
  • dirt, gravel, or mud surfaces
  • blocked pathways
  • waiting time
  • delayed site readiness
  • after-hours delivery
  • special timing requests

Driver pickup times are approximate. Customer is responsible for rental items until picked up by All Occasion Rentals or other written arrangements are made.

Site Readiness

Customer must ensure the site is ready before scheduled delivery/setup:

  • clear access
  • adequate setup space
  • gates unlocked
  • pets secured
  • vehicles moved
  • utilities available
  • obstacles removed

Delays caused by site conditions are billable.

Will-Call Pickup Policy

  • The person paying must be present with valid photo identification and matching debit/credit card.
  • Will-call hours are Monday through Friday, 10:30 AM to 3:30 PM unless otherwise arranged.
  • Weekend rentals are typically picked up Friday and returned Monday.
  • Staff does not load or unload customer vehicles.
  • Rental items are released only to the paying customer unless otherwise approved.
  • Late returns incur additional rental charges.
  • Customer remains responsible until items are checked back in by warehouse staff.

Equipment Condition & Inspection

All rental items are rented as available inventory. Customer must inspect items at pickup or delivery and notify us immediately of any concerns before use. Use of equipment constitutes acceptance of condition. This applies across our inventory, including tables and chairs.

Damage, Loss & Theft

Customer is fully responsible for rental items from time of delivery/pickup until returned, counted, and inspected by All Occasion Rentals. Charges may apply for:

  • theft
  • vandalism
  • burns
  • stains
  • misuse
  • weather damage
  • broken items
  • missing parts
  • excessive cleaning

Repair or replacement costs are Customer responsibility.

Card on File Authorization

Customer authorizes All Occasion Rentals to charge the payment method on file for legitimate unpaid amounts including:

  • remaining balances
  • damages
  • missing items
  • excessive cleaning
  • overtime labor
  • late return fees
  • approved adjustments

Tent & Structure Terms

For tent rentals, canopies, and temporary structures, Customer agrees to:

  • obtain permits unless contracted otherwise
  • clearly identify setup location
  • provide clear, accessible workspace
  • disclose sprinklers, irrigation, drains, private lines, and obstacles
  • contact utility locating services when required
  • ensure sufficient clearance from trees, wires, and structures

Customer accepts responsibility for surface patching or repairs where staking or anchoring is required. Tent sizes are approximate and subject to actual site conditions. Tents may not be moved, adjusted, or dismantled by Customer. No cooking, frying, grills, heaters, or open flame under or near tents unless approved in writing. All Occasion Rentals may refuse, delay, modify, or remove installations deemed unsafe. No guarantee is made against severe weather intrusion or waterproof performance during extreme conditions.

Electrical & Generator Terms

Customer must provide adequate and safe electrical service unless generator rental is arranged separately. All Occasion Rentals is not responsible for outages or failures caused by insufficient customer power supply. This applies to lighting and all powered equipment.

Linen & Decor Terms

Linens and decor items must be returned dry and free of:

  • wax
  • mildew
  • burns
  • glue
  • tape
  • ink
  • excessive stains

Damaged items may be billed at cleaning, repair, or replacement value. The same care standards apply to dance floors and other surface rentals.

Compliance With Laws

Customer is responsible for all permits, approvals, licenses, parking permissions, HOA approvals, and lawful use of rented items. Any fines or penalties caused by Customer conditions or use are Customer responsibility.

Chargebacks & Billing Disputes

Customer agrees to contact All Occasion Rentals first to resolve any billing concern. Fraudulent or improper chargebacks may be contested using contracts, invoices, approvals, photos, delivery records, communications, and related documentation.

Limitation of Liability

To the maximum extent permitted by law, All Occasion Rentals liability is limited to the rental charges actually paid for the affected items. All Occasion Rentals is not liable for indirect damages, lost profits, venue issues, delays outside reasonable control, weather losses, or event interruption.

Force Majeure

All Occasion Rentals is not liable for delays or inability to perform caused by events beyond reasonable control including:

  • severe weather
  • traffic accidents
  • road closures
  • natural disasters
  • strikes
  • labor shortages
  • utility outages
  • government restrictions

Governing Law

  • These Terms are governed by California law.
  • Venue for disputes shall be Riverside County, California where legally permitted.
  • Prevailing party may recover allowable attorney fees and costs.

Acceptance of Terms

Payment, signature, email approval, text approval, online checkout, or possession/use of rental items constitutes acceptance of these Terms & Conditions.
